DISTINGUISHING FEATURES OF THE CLASS:

The fundamental reason this classification exists is to provide assistance to the Judges and Hearing Officers in the courtroom by performing legal clerical work and coordinating the flow of court cases and hearings. Work includes preparing courtrooms, assuring that all essential parties and materials are present, recording actions onto records and into a computer system, labeling and protecting evidence, informing defendants of procedures to be followed and escorting them to other Court employees as the Judge or case disposition indicates, sequestering juries and serving their needs, and performing general clerical duties for a City Judge or Hearing Officer. Job duties follow established routines, but unusual cases require the application of judgment and discretion. Bailiffs report directly to a Court Supervisor. General supervision is received from a City Judge or Hearing Officer on most daily assignments and from a Court Supervisor on general procedures and special projects.
ESSENTIAL FUNCTIONS:
- Schedules court dates, prepares court date notices, and assists in case load leveling for the courtrooms;
- Prepares courtroom for schedules hearings;
- Obtains court files for defendants appearing in Court and makes copies of needed material;
- Maintains order in the assigned courtroom;
- Records court actions on various documents and inputs the information into a computer system;
- Monitors PDC (Pre-trial Disposition Conference) settings;
- Informs defendants of further actions needed and explains procedures;
- Checks docket at the end of court sessions to see that all entries are made and all cases are properly processed and updated in the database;
- Answers questions of defendants and others;
- Refers defendants and others to proper person if unable to answer questions or resolve problems;
- Logs proceedings and documents information on court forms and files;
- Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.

- Legal and Court terminology.
- Communicate orally, in a tactful and courteous manner, with defendants, co-workers, and the public in face-to-face one-to-one settings, using a telephone or in group settings.
- Understand and follow oral and written instructions.
- Work cooperatively with other City employees, defendants, and the public, often under stressful conditions.
- Work independently.
- Operate a computer terminal or other keyboard device to enter or retrieve information.
- Operate a variety of standard office equipment requiring continuous or repetitive arm-hand movements (i.e., typewriter, or calculator).
- Learn job-related material primarily through oral instruction and observation. This learning takes place mainly in an on-the-job training setting.
- Work safely without presenting a direct threat to self or others.
Additional Requirements:
- Some positions will require the performance of other essential and marginal functions depending upon work location, assignment, or shift.
ACCEPTABLE EXPERIENCE AND TRAINING:
One year of experience in working with the public. Other combinations of experience and education that meet the minimum requirements may be substituted.
